With year-end bookkeeping behind you, February brings a new wave of important tax deadlines. For service-based business owners, from consultants to creative entrepreneurs, managing these dates is crucial for staying compliant and avoiding unnecessary stress. We've broken down the key deadlines you can't afford to miss this month.

The Big Day: February 2, 2026 Deadlines

The beginning of the month is packed with critical filing dates for forms related to your team—both employees and contractors.

Forms for Contractors and Vendors (1099s)

If your business paid $600 or more to an independent contractor, freelancer, or other non-employee for services in 2025, you must issue them a Form 1099-NEC. This is a common task for our clients who work with various service providers.

  • Form 1099-NEC: Due to both the recipient (your contractor) and the IRS by February 2.
  • Other Forms (1099-MISC, 1098, etc.): While the IRS copies aren't due until later, these forms must be sent to recipients by February 2. This includes payments for things like rent, royalties, and prizes.

Forms for Your Employees (W-2s)

For your valued employees, February 2 is the deadline to provide them with their 2025 Form W-2. This is also the date you must file Copy A of the W-2s, along with Form W-3, with the Social Security Administration (SSA).

Annual and Quarterly Payroll Filings

Several key payroll tax forms are also due:

  • Form 941 (Employer's Quarterly Federal Tax Return): The return for the fourth quarter of 2025 is due.
  • Form 940 (Employer's Annual Federal Unemployment Tax Return): Your annual FUTA return for 2025 must be filed.
  • Form 943 (Employer's Annual Federal Tax Return for Agricultural Employees): For farm employers, this is your deadline for 2025 reporting.
  • Form 945 (Annual Return of Withheld Federal Income Tax): File this to report income tax withheld on nonpayroll items, like pensions or gambling winnings.

Mid-Month Deadlines and Extensions

If you've been diligent with your tax deposits, you may have a little extra time for certain filings.

February 10: The Extended Filing Deadline

If you deposited all your taxes on time and in full, you have until February 10 to file Forms 940, 941, 943, 944, and 945. This extension is a reward for staying on top of your deposits throughout the year.

February 17: Other Key Dates

A few more deadlines pop up mid-month:

  • Information Statements: Forms 1099-B, 1099-S, and certain 1099-MISC forms are due to recipients.
  • Monthly Depositors: If you're on a monthly deposit schedule for social security, Medicare, and withheld income tax, your deposit for January is due.
  • New W-4s: This is the deadline to start withholding for employees who claimed exemption in 2025 but haven't submitted a new W-4 for 2026.

Weekends and Holidays

Don't forget: if a tax deadline falls on a Saturday, Sunday, or legal holiday, the due date automatically shifts to the next business day.
